1. introduction

Pump Spares Direct (“PSD”, “we”, “our”, “us”) operates this website and provides OEM and aftermarket pump spare parts to trade, industrial, and rural customers. We respect your privacy and manage your information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

This Privacy Policy explains how we collect, use, and share your Personal Information when you visit our Site, submit an RFQ, request a quote, place an order, or interact with us.

2. information we collect

We collect various types of information to provide our services effectively. When you visit our Site, we automatically collect details about your device, including your IP address, browser type, time zone, and general browsing behaviour via cookies, log files, and analytics tools (such as Google Analytics and Meta Pixel).

When you submit a Request for Quote (RFQ), place an order, or contact us for assistance, we collect the personal details you provide, including your name, business name, email address, phone number, billing and delivery addresses, and technical details regarding your equipment. If you contact us for support or warranty claims, we also collect any photos, files, or correspondence you submit to help us resolve your enquiry.

3. how we use your information

We use your Personal Information primarily to fulfill your requests and manage our business operations. This includes responding to Requests for Quote (RFQs), identifying compatible spare parts, processing orders, and generating invoices.

Crucially, we use your details to facilitate “blind shipping” or direct delivery from our third-party suppliers to your designated address. We also use this information to communicate with you regarding pricing, lead times, and order status, as well as to screen for potential risk or fraud.

Additionally, we use device and usage data to improve our Site’s performance through analytics and to provide relevant advertising. We do not sell your Personal Information to data brokers.

4. disclosure of your information

To fulfill your order, PSD operates as a distributor and may need to share your Name, Delivery Address, and Phone Number with third-party OEMs, suppliers, or warehouses. This disclosure is strictly for the purpose of facilitating the direct delivery (drop-shipping) of goods to your location, and by placing an order, you explicitly consent to this disclosure.

We also share information with trusted service providers who support our operations, such as Shopify (for store hosting), Airtable (for workflow management), freight partners (for delivery), and marketing platforms (such as Google and Meta).

These providers only receive the information necessary to perform their specific functions. We may also disclose information if required by law, to enforce our Terms & Conditions, or to protect our legal rights.

5. data storage & security

Your information may be stored within Shopify’s systems, Airtable, secure cloud platforms, or encrypted email services. We take reasonable steps to protect your data from misuse, loss, unauthorised access, modification, or disclosure. While we implement strong safeguards, no online system is entirely secure, and we cannot guarantee the absolute security of data transmitted over the internet.

6. cookies & tracking technologies

Our Site uses cookies and tracking technologies to improve performance, understand visitor behaviour, measure RFQ activity, and support advertising. We may use tools such as Google Ads and Meta Pixel to serve relevant ads to you on other websites based on your activity on our Site (Remarketing). You can control or opt-out of cookies through your browser settings or via specific opt-out tools provided by Google or the Digital Advertising Alliance.

7. direct marketing & scam act compliance

By submitting an RFQ or placing an order, you acknowledge that you may receive commercial electronic messages from us regarding your quote, order status, or related products and services. We comply with the Spam Act 2003 (Cth). You may unsubscribe from marketing lists at any time by using the "unsubscribe" link included in our messages or by contacting us directly. Please note that even if you opt out of marketing communications, we will still send necessary transactional emails regarding your specific Orders or Quotes.

8. overseas data transfers

Some of the service providers we rely on, including Shopify, Airtable, and Google, may store or process data in locations outside Australia, including the United States, Europe, or Singapore. By using our services, you consent to the transfer of your data to these overseas jurisdictions for processing and storage.

9. third-party links

Our Site may contain links to external websites, including OEM manuals, technical documents, and manufacturer resources. We are not responsible for the privacy practices, security, or content of those external websites, and we encourage you to review their individual privacy policies.

10. minors

Our Site is not intended for individuals under the age of 13. We do not knowingly collect Personal Information from children. If you believe your child has provided us information, please contact us so we can arrange removal.

11. changes to this policy

We may update this Privacy Policy from time to time to reflect changes to our internal processes, legal requirements, or business operations. The most recent version will always be available on our Site, and your continued use of our services constitutes acceptance of the updated policy.

12. contact us

You have the right to request access to the Personal Information we hold about you, ask us to correct inaccuracies, or request deletion where legally permissible.
