1. introduction 

Pump Spares Direct (“PSD”, “we”, “our”, “us”) supplies OEM and aftermarket pump spare parts to trade, industrial, rural and private customers. We handle personal information in line with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth).

 

This policy explains what we collect, how we use and share it, and how to contact us about it when you visit our site, submit an RFQ, place an order, call us or otherwise deal with us.

2. information we collect

When you visit our site, we and our analytics and advertising providers automatically collect device and usage information, such as IP address, browser type, pages viewed and how you arrived, using cookies and similar tools (for example Google Analytics and Google Ads).

 

When you submit an RFQ, place an order, call or email us, we collect the details you give us: your name, business name, email, phone number, billing and delivery addresses, and information about your equipment. For support or warranty claims we also collect photos, files and correspondence you send. Calls to our 1300 number may be answered by our reception service, which takes a message for us. We don't store your card details; card payments are processed by our payment provider.

3. how we use your information

We use your information to respond to RFQs, identify compatible parts, prepare quotes, process orders and payments, arrange delivery (including direct delivery from our suppliers), handle returns and warranty claims, keep business and tax records, and prevent fraud.

 

We also use device and usage data to improve the site and to show relevant advertising. We do not sell your personal information.

4. disclosure of your information

To fulfil your order, we share your name, delivery address and phone number with the manufacturers, suppliers, warehouses and carriers who supply and deliver your parts.

 

We also use service providers to run the business, including Shopify (online store), Stripe and our bank (payments), Xero (invoicing and accounts), Google Workspace (email and files), Airtable (order management), our phone reception service, and Google (analytics and advertising). They receive only what they need to provide their service.

 

We may also disclose information where the law requires it, or to enforce our Terms of Sale or protect our legal rights.

5. data storage & security

Your information is stored in the cloud systems listed above. We take reasonable steps to protect it from misuse, loss and unauthorised access, such as limiting access to our business accounts. No system is completely secure. If a data breach is likely to cause you serious harm, we will tell you and what you can do.

6. cookies & tracking technologies

Our site uses cookies and similar technologies to work properly, understand how visitors use it, measure enquiries and support advertising. We may use Google Ads to show you our ads on other websites based on your visit (remarketing). You can block or delete cookies in your browser settings, and manage Google ad personalisation at adssettings.google.com.

7. direct marketing & reminders

We send you emails about your RFQs, quotes, orders and deliveries. We comply with the Spam Act 2003 (Cth) for any marketing messages.

 

If you buy wear parts from us, we may send you a one-off reminder when a replacement is likely to be due. We tell you about this when you order, and you can reply “stop” at any time. You can also unsubscribe from any marketing email using the link in it or by emailing us; we act on requests within 5 business days. We will still send emails you need about your orders and quotes.

8. overseas data transfers

Some of our service providers, including Shopify, Stripe, Xero, Airtable and Google, store or process data outside Australia, mainly in the United States and Europe, and in some cases Singapore. We use reputable providers with security commitments and take reasonable steps to ensure they handle your information consistently with the APPs.

9. third-party links 

Our Site may contain links to external websites, including OEM manuals, technical documents, and manufacturer resources. We are not responsible for the privacy practices, security, or content of those external websites, and we encourage you to review their individual privacy policies.

 

10. minors

Our Site is not intended for individuals under the age of 13. We do not knowingly collect Personal Information from children. If you believe your child has provided us information, please contact us so we can arrange removal.

11. changes to this policy

We may update this policy as our business, systems or the law change. The current version, with its date, is always on this page.

12. access, correction & complaints

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it where we don't need to keep it by law (for example, tax records must be kept for 5 years). We may need to confirm your identity first.
